Student Club/Organization Sponsor Job Description
Function:
Organizations and clubs are established to provide opportunities for leadership, broaden students awareness and assists in the retention of students by empowering students to interact and share common interest while they display the colleges core values: respect, responsibility, honesty, compassion and fairness.
Organizational Relationship:
Student organizations may be officially founded and continue to operate within Kaskaskia College only with the appropriate approval and recognition of the clubs charter by the Board of Trustees.
Required Qualifications:
Faculty interested in filling a vacancy as a student organization sponsor must submit a letter of request to the Office of Campus Life. The letter should include the name of the organization and a brief explanation of their qualifications to fill the position along with the vision they have for the organization.
Essential Functions:
- File a list of the elected officials and members with telephone numbers and email
addresses with the Office of Campus Life yearly within the Beginning of the Year Report.
- Maintain an accurate and current record of all receipts and expenditures of the club or organization. All expenditures are to comply with the Colleges Purchasing Policy and Procedures.
- Provide learning experiences that are transferable to situations beyond college.
- Serve as a resource person.
- Maintain a close working relationship with the Office of Campus Life.
- Encourage and assist the organizational membership to carry on worthwhile
programs and activities.
- Be present at all meetings and social functions of the organizations, both on and off campus. If the sponsor cannot attend a social function, it is his/her responsibility to find a substitute. The sponsor is expected to be present from the beginning to the conclusion of the function.
- Advise/assist the treasurer of the organization in keeping accurate and up-to-date records.
- Supervise all student fundraising and the safeguarding and deposit of those funds to consist of: collecting cash, maintaining documentation, preparing deposits, reconciling records.
- Complete and sign proper forms (as Requisitioner or Sponsor) before they are
submitted to the Office of Campus Life.
- Must submit a Fundraiser Request Form to the Office of Campus Life at least two weeks in advance of a fundraiser or activity.
- Submit Student Travel Form form for all outings.
- Submit an annual assessment report based on Co-curricular Student Learning Outcomes and related assessment measures.
- Completion of beginning, mid, and end of the year reports with timely submission to the Office of Campus Life.
- Plan experiences, meetings, community service & other club/organization activities to maximize score on club allocation rubric. These plans should be clearly described within the Beginning of the Year Report for consideration on the allocation rubric.
- Complete Co-Curricular assessment process if the club has been identified as Co-Curricular.
Supervisory Controls:
There is a required meeting with a member of the Office of Campus Life prior to the signing of sponsor contracts and the allocation of funds. Sponsors must attend the Student Clubs and Organizations Annual Meeting with the Office of Campus Life.
